Job Description System Administrator Department IT / Infrastructure Reports To IT Manager / Head of IT Experience 4–5 years Employment Type Full-time Location Ahmedabad Grade / Level Mid-Level (IC) About The Role We are looking for a proactive and detail-oriented System Administrator with 4–5 years of experience to manage, maintain, and secure our organization's IT infrastructure. The ideal candidate will be responsible for day-to-day system administration, network and server management, and driving efficiency across our core platforms — Microsoft 365 (users, licensing, Exchange Online, Teams, SharePoint/OneDrive, security & compliance), Datto (RMM, endpoint monitoring, patching, and backup/BCDR), the Zoho application suite (Zoho People, Mail, Desk/CRM, Creator), and Time Doctor (workforce time & productivity tracking). You will play a key role in ensuring high system uptime, data security, and smooth technology operations across the organization. Key Responsibilities - Infrastructure Management: Install, configure, and maintain servers, workstations, printers, and network devices (routers, switches, firewalls, access points). - M365 Administration: Administer the Microsoft 365 tenant end-to-end — user/license provisioning, Exchange Online mail flow and mailboxes, Teams and SharePoint/OneDrive administration, conditional access, MFA, and security & compliance center policies. - Datto (RMM & Backup/BCDR): Manage endpoint monitoring, patch management, remote support, and automated alerts through Datto RMM; configure and monitor Datto backup/BCDR (image-based and Datto SaaS Protection for M365) and regularly verify backup integrity and restore readiness. - Zoho Administration: Administer and support the organization's Zoho ecosystem (Zoho People, Zoho Mail, Zoho CRM/Desk, Zoho Creator/Analytics) — user provisioning, roles, workflows, and integrations. - Time Doctor Administration: Configure and maintain Time Doctor for accurate time tracking and productivity reporting; manage user/team setup, projects, and generate attendance/productivity reports for management. - User & Access Management: Manage user accounts, access rights, and permissions across M365, Zoho, Datto, Time Doctor, and other systems in line with security policy (joiner–mover–leaver process). - Network Administration: Monitor network performance and security, manage firewalls, VPNs, and ensure safe, uninterrupted connectivity. - Security & Compliance: Implement and monitor antivirus/endpoint protection (via Datto RMM), patch management, firewall rules, and M365 security policies; respond to and document security incidents. - Backup & Disaster Recovery: Own the backup and disaster recovery strategy using Datto BCDR and Datto SaaS Protection; maintain regular backups of servers, databases, M365 data, and critical business data; test recovery procedures periodically. - IT Support & Troubleshooting: Provide L1/L2 technical support to end users for hardware, software, network, M365, Zoho, and Time Doctor issues; maintain a ticketing log and track resolution against SLAs. - Asset & Vendor Management: Maintain accurate records of IT assets, M365/Zoho/Datto/Time Doctor licenses, warranties, and AMC/vendor contracts; coordinate with vendors for procurement, renewals, and repairs. - Documentation & Policy: Maintain SOPs, network diagrams, and system documentation for M365, Datto, Zoho, and Time Doctor configurations; ensure IT processes align with organizational policies. - Process Improvement: Identify opportunities to automate repetitive tasks and improve system reliability, especially through Zoho Creator/Flow, Datto RMM automation policies, and scripting (PowerShell). - Bachelor's degree in Computer Science, IT, or a related field (or equivalent practical experience). - 4–5 years of hands-on experience as a System Administrator or in a similar IT infrastructure role. - Working knowledge of Windows Server/Linux administration, Active Directory, DNS/DHCP, and networking fundamentals (TCP/IP, VPN, firewalls). - M365: Hands-on experience administering Microsoft 365 (Exchange Online, Teams, SharePoint/OneDrive, Azure AD/Entra ID, security & compliance policies) is required. - Datto: Experience with Datto RMM and Datto backup/BCDR (or comparable RMM and backup solutions) is strongly preferred. - Zoho: Practical experience administering Zoho applications (Zoho People, Mail, CRM/Desk, Creator) is highly preferred. - Time Doctor: Exposure to Time Doctor or similar time-tracking/productivity monitoring tools is a plus. - Familiarity with backup solutions, antivirus/endpoint security tools, and patch management. - Basic scripting knowledge (PowerShell, Bash, or similar) is a plus for automation tasks. - Strong troubleshooting, analytical, and problem-solving skills. - Good communication skills and ability to support non-technical staff patiently and effectively. - Relevant certifications (Microsoft 365 Certified: Administrator Expert, CompTIA Network+/Server+, MCSA, CCNA, ITIL Foundation, or Zoho certifications) are an added advantage. M365 Administration 100% of user/license provisioning-deprovisioning completed within 24 hrs; zero unauthorized access incidents; MFA/conditional access compliance at 100%. Datto RMM & Endpoint Management 98% of endpoints patched and reporting healthy in Datto RMM each month; critical patches applied within 72 hrs of release. Datto Backup / BCDR 100% successful scheduled backup jobs (servers + M365 via SaaS Protection); backup/restore test performed at least quarterly with < 4 hr Recovery Time Objective (RTO). Zoho Platform Administration 100% timely (within 24 hrs) user provisioning/deprovisioning in Zoho apps; 2 workflow/config errors per quarter. Time Doctor Administration 100% of active employees correctly set up and tracked in Time Doctor; attendance/productivity reports delivered to management on schedule (e.g., weekly/monthly) with zero data gaps. IT Support & Ticket Resolution Average ticket resolution time within SLA (e.g., L1 4 hrs, L2 24 hrs); 90% employee satisfaction on support tickets. Security & Compliance Zero critical security incidents caused by unpatched systems or misconfigured access; 100% of devices with updated antivirus/patches monthly. Asset & Vendor Management IT asset register (incl. M365/Zoho/Datto/Time Doctor licenses) updated within 48 hrs of any change; renewals/AMCs tracked with zero lapses. Process Improvement & Automation At least 2–3 process automations (e.g., via Zoho Flow/Creator, Datto RMM policies, or PowerShell scripts) implemented per quarter to reduce manual effort. Documentation 100% of systems/processes (M365, Datto, Zoho, Time Doctor) have updated SOPs and configuration documentation, reviewed at least quarterly.
