Role overview We are seeking a detail-oriented Project Support Officer to provide PMO and project coordination support across our portfolio. This role requires a mandatory Planview power user proven, demonstrable experience with Planview (Project Portfolio Management Platform) is the single most important requirement and will be the deciding factor in candidate selection. The successful candidate will support governance forums, produce management reporting, maintain project records, and ensure smooth administrative and governance processes across projects. Key responsibilities - Act as a Planview power user: configure, maintain, and optimise Planview data, views, dashboards and workflows to support portfolio reporting, demand intake, resource tracking and project lifecycle management. - Maintain the project portfolio within Planview: create and update project records, track milestones, status, risks, issues, financials and resource assignments. - Produce regular and ad hoc management reports, executive dashboards, and presentation-ready slides summarising portfolio health, KPIs, risks and dependencies (PowerPoint + Excel). - Support governance forums (steering committees, portfolio board, change control): prepare agendas, collate papers, capture and follow up actions, circulate minutes and support decisions. - Provide day-to-day project coordination and administrative support: schedule meetings, manage project documentation and version control, maintain trackers and logs. - Work with project managers and stakeholders to ensure consistent project governance, standards, templates and data quality across the portfolio. - Support demand intake and triage processes, ensuring submissions in Planview meet data and governance requirements. - Perform data analysis in Excel to validate, reconcile and summarise portfolio information; escalate anomalies and propose remedial actions. - Facilitate user support and training for Planview and PMO tools; act as first point of contact for Planview question resolution and best-practice guidance. - Contribute to continuous improvement of PMO processes, tools and templates. Mandatory qualifications & experience - Proven, demonstrable experience as a Planview power user - extensive hands-on experience configuring, managing and reporting from Planview is mandatory. - Experience in project coordination, PMO support, project administration, or governance roles . - Strong administrative and organisational skills with exceptional attention to detail. - Experience supporting governance forums and producing management-level reports and presentations. - Proficiency in Microsoft Office Suite, particularly Excel (advanced), PowerPoint, Word, and Teams. - Excellent written and verbal communication skills; ability to present complex information clearly to stakeholders at all levels. - Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Desirable - Formal project management qualification (e.g., PRINCE2 Foundation/Practitioner, PMP, Agile certifications). - Experience with other PPM/portfolio tools or integrations (e.g., Jira, ServiceNow, Power BI). - Basic understanding of financial tracking/prioritisation in project portfolios. - Experience delivering user training and creating documentation.
